Heritage Harbour Community Association is Hiring an Administrative Coordinator Near Annapolis, MD

Job Description:

As the Administrative and Communications Coordinator at Heritage Harbour Community Association, you will play a crucial role in ensuring smooth operations and effective communication within our community. Your responsibilities will include:

  • Newsletter Management:
  • Collecting advertisements and payments for the Harbour Lights newsletter.
  • Recording all transactions accurately in both Excel spreadsheet and QuickBooks.
  • Gathering articles from residents and organizing them in Word or Excel for inclusion in the newsletter.
  • Desktop Publishing Collaboration:
  • Working closely with Desktop Publishing to develop the monthly Harbour Lights newsletter, ensuring timely publication and distribution.
  • Office Supplies Management:
  • Ordering office supplies through Staples Commercial account, including but not limited to paper, pens, and other essential items.
  • Website Maintenance:
  • Maintaining the Association's website in collaboration with chartered committees and registered groups authorized by the Board of Directors to use the Association's communication facilities.
  • Communication Support:
  • Serving as a backup for posting notices on My Green Condo and HHTV under "Services."
  • Handling correspondence from the Association's President and General Manager.
  • Board Meeting Support:
  • Preparing and copying the monthly agenda for the Board of Director's meetings.
  • Assisting in the preparation and submission of all changes to the Policy and Administrative Resolutions approved by the Board of Directors.
  • Liquor License Assistance:
  • Assisting registered activities with submitting liquor license applications to the AA County Liquor Board.
  • Submitting applications for liquor licenses for Chartered Committees and working with the Clubhouse Dining Room Contractor to obtain the annual liquor license for the Clubhouse.
  • IT Support:
  • Providing beginner-level IT support to users within the Association, including troubleshooting basic hardware and software issues.
  • General Administrative Duties:
  • Performing any other duties as assigned by the management.
